Who we are
Cocoa Doodles is a family-run Goldendoodle and Poodle breeder in West Michigan. This policy explains what information we collect through cocoadoodles.com and the Furever Family Portal, how we use it, and the choices you have. Questions? Email Hello@CocoaDoodles.com.
Information we collect
What we collect depends on how you use the site.
- Contact messages: your name, email address, phone number (if you give it) and your message.
- Puppy applications: your name, email, phone, address and the details you share about your family, your home and the puppy you are hoping for.
- Waitlist, deposits and payments: your contact details and payment history. Card payments are handled by Stripe, so we never see or store your full card number.
- Furever Family Portal: your email address and a password (stored only in scrambled form), your family and puppy details, health records and weights, the vets and other care providers you choose to save, microchip details, documents and photos you upload, and the private share links you create.
- Shop: browsing the shop is handled by us; orders are placed and fulfilled through Printify, which collects the information needed for your order.
- Basic technical information: like most websites, our servers record standard request information such as IP address, browser type and pages requested, mainly for security and troubleshooting.
- Analytics information: if you allow analytics cookies, Google Analytics records pages viewed, links and buttons clicked, approximate location, device and browser information, and completed application or contact forms. We do not send the contents of forms to Google Analytics.
How we use it
We do not sell your personal information, and we do not use it for advertising.
- To respond to your messages and applications and to match puppies with families.
- To manage waitlists, deposits, contracts and pickup.
- To run the Furever Family Portal, including invitations, password resets and the reminders you ask for, such as vaccine and vet-visit reminders.
- To send emails about your puppy, your account and your payments. Invitation emails may contain a tiny image that tells us when the email was opened, which helps us know whether an invitation arrived.
- To keep the site and your account secure, and to prevent spam and abuse.
- If you allow analytics, to understand how visitors use the site and which pages and calls to action are useful.
- To meet legal and record-keeping obligations.
Who we share it with
We share information only with service providers that help us run Cocoa Doodles, and only what they need:
- Stripe processes online payments.
- Google provides the email service we use to send and receive messages, and serves the fonts used on our pages.
- Google Analytics measures site usage only after you give permission. Google receives usage and device information for that purpose.
- Google Maps Platform and OpenStreetMap services help power the “find care” search in the Furever Family Portal. They receive the search terms and locations you enter there.
- Printify fulfils shop orders.
- Our hosting provider stores the site and its database.
- People you choose: the Furever Family Portal lets you create private links that show only the details you select. Anyone with a link can see what it includes until it expires or you switch it off.
Cookies
We use necessary cookies to keep you signed in to the Furever Family Portal (or, for staff, the admin area). They are removed when you sign out or after a limited time. With your permission, Google Analytics also uses cookies or similar browser storage to measure page views, clicks and completed forms. Analytics is off unless you choose “Allow analytics.” We do not use analytics for advertising or send form contents to Google. You can clear this choice at any time by deleting this site’s browser data.
How long we keep it
We keep your information for as long as we have a relationship with your family, and afterward for as long as we reasonably need it for record-keeping, health and pedigree records, or legal reasons. You can ask us to delete your Furever Family Portal account and the documents you uploaded at any time.
How we protect it
We use reasonable safeguards: connections are encrypted, passwords are stored in scrambled form, private documents are kept out of public folders and only shown to the signed-in family, and access to administration is limited. No system is perfectly secure, so please use a strong, unique password and keep it private.
Your choices
You can ask to see, correct or delete the personal information we hold about you, or to stop receiving emails, by writing to Hello@CocoaDoodles.com. Depending on where you live, you may have additional rights under local privacy laws, and we will honor them. Some emails, such as account and payment notices, are necessary while you have an account.
Children
Our site is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, please contact us and we will delete it.
Other websites
Our pages link to other sites, such as veterinary guides, product pages and the Printify shop. Their privacy practices are their own.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change, we will let Furever Family Portal members know.
